Note: This guide is designed for Version 2 (v2) of the Messenger (Formerly Communicator). Launched 21 Oct 2020.

 

A Distribution Group is a list of email recipients that are addressed as one during a send. These groups are used to send an email to a group of people without having to enter each recipients individual email address. 

 

In the Messenger there are two types of distribution groups: Static & Dynamic.

 

A Static group is a group that has been created by the user manually; in that they have manually searched for and added individual players or club users to this group. Lets have a go at creating one:

 

  • Log into COMET
  • Click Other Applications then Messenger from the top menu.

 

 

  • This will open a new window, then from the left hand menu select Distribution Groups

 


 

Here you will see of all the distribution groups that are available to you. Use the arrows to navigate through the pages if you have multiple distribution groups, or use the search bar to find a particular one. 

 

  • Select Add.

 

 

  • Input the name the group in the Group Name field.
    • You should name this appropriately so that you may easily identify it in the future (e.g. U10 Players 2019).
  • Select Type dropdown box.
    • Private type will be distribution groups that only you can see.
    • Public type will allow you to make distribution groups that are visible to other club administrators within your club.
  • Select Static from the Feed Type dropdown.
  • In the Users field, start typing in the name of the recipient to add to the group. Once there name appears in the search, select them to add them to the group. Repeat this for all people you wish to add to this group.
  • Select Save.

 

 


Done! You have created a Static group that can now be used in email sends. 


Note: After a new group has been created, it can take up to 1 minute for it to appear as a sendable group in the Compose Message console.

 

So then, what is a Dynamic Distribution Group? This kind of group instead references a list of people based from a saved distribution group report. For example, say you saved a distribution group report that contain all of your U10 Male players, instead of adding these recipients manually like you would with a static group, a dynamic group allows you to reference your U10 Male players report, automatically adding all those players to the group. 

 

First things first, lets create and save a dynamic group report.


  • Navigate to Comet.
  • Use your club admin credentials to log in.
  • Select Reports & Statistics from the left hand menu.
  • Select Distribution Groups.

 

 

  • Select My Players
  • Use the parameters where required to ensure you get the right information (e.g. discipline, gender, age group).
  • Once done, select Run Report.

 

 

After doing this you will be provided with a familiar looking adhoc type report that contains basic information about the persons with the list. Next you’ll want to save this report.

 

  • From the top right hand corner of the screen, enter a name for the report in the “Save this report as my report template” field. Lets call this one, My Players as an example.
  • Select Save.

 

 

Perfect. Now we have created a saved distribution group report that we can now reference to make a dynamic group. Lets go back to the Messenger and finish creating this group!


  • Click Other Applications then Messenger from the top menu.
  • Select Distribution Groups
  • Select Add.
  • Input the name the group in the Group Name field.
    • You should name this appropriately so that you may easily identify it in the future (e.g. U10 Players 2019).
  • Select Private from Type dropdown box.
    • Future iterations will allow you make this distribution group visible to other club administrators within your club (Public).
  • Select Dynamic from the Feed Type dropdown.
  • Search and select your saved report.
  • Select Save.

Great! You have now created a dynamic distribution group that can be used for future sends. The great thing about dynamic groups is that these automatically add and remove players as they are confirmed and terminated from your club database.
